Development & Operations Assistant

The National Council of Jewish Women New York (NCJW NY) seeks a flexible and reliable team player to serve as our Development & Operations Assistant (DOA). This newly created, full-time, permanent position will provide key support for the development, operations, finance, and executive functions of our organization. It is an excellent entry level position from which to learn all aspects of non-profit management.

NCJW NY strives for social justice and empowerment for historically excluded and underserved individuals and families in New York City and state. Our hands-on approach combines direct social services—to alleviate the immediate effects of inequity—and passionate, focused advocacy to make lasting systemic change for the future.

Reporting Relationships

As a multi-functional position, the DOA supports and reports to the Executive Director, the Director of Finance & Operations, and the Associate Director of Development & Communications. These senior staffers will communicate and collaborate to prioritize the DOA’s tasks.

Responsibilities

Development & Communications (35%):

  • Manage NCJW NY’s donor database, including entering data, creating reports, pulling lists, and ensuring database hygiene.
  • Process all gift acknowledgements.
  • Assist with production of the Annual Gala and other special events.
  • Assist with basic website updates and social media posts.
  • Other duties as assigned.

Finance & Operations (35%):

  • Bookkeeping support, including entering data, processing invoices and reimbursement checks, and running reports.
  • Serve as point person for our IT consultants.
  • Provide back-up for front desk reception duties.
  • General assistance with operations and facilities.

Board Relations (15%):

  • Coordinate Board meetings, including scheduling, tracking RSVP’s, enabling remote participation, preparing meeting materials, and taking notes for the minutes.
  • Schedule and coordinate meetings and other gatherings for Board committees, task forces, etc.

Executive Assistance (15%):

  • Provide administrative support for the Executive Director, including scheduling and administrative projects as assigned.

Requirements:

  • High school diploma required; college degree preferred.
  • One to two years of work experience, which may include relevant volunteer experience.
  • Facility with Microsoft Office applications, social media platforms, and database software.

  • Passion for New York City and New Yorkers; desire to be “close to the work” on-site in our community center on the Upper West Side.
  • High energy and organized, able to stay on top of multiple projects and duties and consistently meet deadlines.
  • Strong communications skills, both verbal and written.
  • Precision and attention to detail.
  • Ability to work independently as well as collaboratively.
  • Reliability and accountability.
